Job Title: Remote Executive Assistant

Key Responsibilities: Organizing and maintaining the executives’ calendars, scheduling meetings, appointments, and travel arrangements while ensuring there are no conflicts.

 

Planning and booking international travel for directors, including flights, accommodations, transportation, and itineraries, while considering time zones and travel restrictions.

 

Serving as the primary point of contact between executives and internal/external stakeholders, managing emails, phone calls, and messages through platforms like Slack.

 

Preparing agendas, gathering necessary documents, and ensure all technology is set up for virtual meetings, including video conferencing tools.

 

Tracking and processing expense reports for executives, ensuring timely reimbursement and adherence to company policies.

 

Assisting in managing projects by tracking deadlines, deliverables, and progress, and providing updates to the executives as needed.

 

Assisting in the planning, execution, and monitoring of projects, using project management tools to track progress, deadlines, and deliverables, while collaborating with team members to ensure successful outcomes.

 

Organizing and maintaining digital files and documents in Google Workspace, ensuring easy access and proper version control.

 

Conducting research on various topics as requested by executives, compiling data and presenting findings in a clear and concise manner.

 

Coordinating logistics for company events, meetings, and team-building activities, including venue selection, catering, and technology setup.

 

Assisting in the onboarding process for new hires by preparing materials, scheduling orientation sessions, and facilitating introductions.

 

Help manage the company’s social media presence by scheduling posts, responding to inquiries, and monitoring engagement.

 

Handling sensitive information with discretion, ensuring confidentiality and security of company data and executive communications.

 

Monitoring and reporting on key performance indicators KPIs related to executive projects and initiatives, providing insights and recommendations for improvement.

 

Prioritizing tasks effectively to ensure that executives can focus on high-level strategic initiatives without being bogged down by administrative details.

 

Utilizing tools like Google Workspace Docs, Sheets, DriveDocs, and Slack to enhance productivity, streamline communication, and collaborate with team members.

 

Overseeing the virtual office environment, ensuring that all necessary tools and resources are available for the team, and managing subscriptions and software licenses.

 

Identifying areas for process improvement within the executive support function and proposing solutions to enhance efficiency and effectiveness in operations.

 

Building and maintaining relationships with key stakeholders, clients, and partners, ensuring timely communication and follow-up on important matters.

 

Organizing and facilitating both internal and external meetings, including sending out invites, managing RSVPs, and ensuring all necessary materials are prepared and distributed in advance.

 

Acting as a point of contact for customers, addressing inquiries, resolving issues, and ensuring a positive experience that aligns with the company’s values and goals.
