Key Responsibilities: Overseeing all aspects of office management, facilities maintenance, and health and safety coordination.
Main point of contact for all office-related activities and ensure the smooth functioning of the office environment
Manage office equipment such as IT supplies. Laptops, printers and screen monitors, maintaining register for equipment issued.
Monitor stationery supplies and arranging courier service collection
Maintaining SLA agreement i.e air-condition provider, building management and printer maintenance
Manage office equipment to ensure uninterrupted function, including identifying needs and acquiring suppliers.
Keep management informed regularly via performance reports on office operations and facilities maintenance
Finance: Purchase orders, invoicing and toggling on Focal Point Finance Management Portal
Opening and closing of tenders by creating tender codes and supporting documents
Staff time sheets, reporting P & L
Sales reports
Hosting Monday weekly meeting, creating agendas, technical reporting and updating of resource schedule.
Taking minutes of Management and Team meetings
Booking of accommodation and vehicle rentals
Maintain record of vehicle rental and services
Organize company events and conferences, team breakaways, including coordinating logistics and managing budgets.
Assisting HR with on-boarding documentation and sitting in for interviews as an overseer
